October 2025 Meeting Minutes

III. 2025-2026 Budget Review

  1. 2025-26 Budget Review and Vote (Liz)
    1. Review of annual budget. Budgeted income set at a conservative number to ensure we meet the thresholds. We doubled our goal for the fund run. Money will be added to various areas of the budget for as needed items based on teacher/student needs. At any given time, records are available for anyone to review. Dilley provides teachers a budget for $500 for them to access at any time throughout the year. Advocates for the $500 per teacher to continue next year. Lize will only be treasurer for this year and looking for someone who wants to shadow to learn the role.
    2. Vote of annual budget.  Voted for the budget expense with all participants present (Pebbles used for voting.) 24 yes, zero no. To vote in a new item is a 2 month process. All monthly treasurer reports are on the PTO website. We could vote in an additional 1k.

IV. Current Events

  1. Back to School BBQ Recap (Liz, Jordan, Haley): BBQ was a success. Check from Kona Ice was $125 donated. 
  2. Spirit-wear Update (Jordan and Haley): New Spirit-wear has been updated with the new logo and brighter blue design. Will be placing a new order including a tote bag. Can order on the website and also available during Dilley events. 
  3. Tears and Cheers (Jordan and Ahmed): Good turnout with a lot of kinder parents signing up to volunteer. Papa Floyd’s donuts were a hit. 
  4. Glow Run (Deb, Elisa, and Jordan): Kids enjoyed the run with the fundraiser being a success. Raised $10,035.85 with net raised being $9,700.25. The goal was $5k. Glow Run prizes will occur next week. The Hoop-a-thon is consistently bringing in less money than the Fund run. The accessibility of the younger kids being able to make a basket is more difficult than running. Teachers even did laps to encourage students to continue to run. It was a lot of fun with some kinders taking a nap towards the end of the school day. Prizes will be passed out to the teachers. Prizes are per grade this year; top runner and top donations. 

V. Upcoming Events

  1. Book Fair (Jordan and Jill): Book Fair will start next Monday, open Monday-Thursday and open before school (have to shop with an adult), lunch/recess, after school (with an adult) and library times. 3 volunteers are needed helping students pick out a book, counting change. 
  2. Pumpkin Patch (Jordan): Shirts have been tie dyed for the entire school. Kinder is neon green, 1st grade orange, 2nd grade purple, 3rd grade red, 4th grade yellow. Not all shirts were tie dyed consistently. Next year if we do it again we will ask for cotton shirts. If we get a new student next week, a shirt will be made. 5 to 6 shirts will be processed this week.
  3. Carnival (Everyone): This year’s annual carnival time (November 8th from 4-7) has been increased from 2 to 3 hours. This year, parking will be at StoryBook Lane and a full bus has been ordered. This is an ongoing process. $5 for entry for anyone over age of 5 with donations offered. Families can talk to their teachers. Activities include community partners, cake walk, carnival games with prizes and food carts outside. The only thing not included is food carts. Volunteers are needed for day of event carnival game activities. This year sponsorships with different companies are being sought out. Logos will be displayed and can be at different levels depending on what was donated. When you sign up on the website to volunteer, you get an automated email with a link to get a background check. Dave Warner is the contact person for volunteers who submitted background checks to get verification if they passed.
  4. Dine Out with Dilley (Elisa): November 18th (3:30-7:30) at Pizza Schmizza which includes online orders and in person. Will have to mention the order is for Dilley. The dolphin may be out around downtown Forest Grove. Teachers can announce when they plan to be there to encourage more student participation. Ahmed can make a post if he knows when the teachers will be at the restaurant. 20% of all proceeds will be donated. We need to remind Pizza Schmizza the day prior of the event.
  5. October staff Meals (Liz & Deb): Wednesday night dinner will be Pac Thai and delivered lunch will be Ingallina’s. The week of the parent teacher conference, we ensure they are fed at least two of the days. Google order forms will be out to fill out for teachers. Forest Grove Subs has been contacted but unable to commit. Local businesses are typically looked at first. 

VI. New Business

  1. Glow Run All School Prize ideas . Large Connect Four was purchased last year. Asked if there are ideas for what to purchase, possibly two additional basketball hoops outside undercover (unknown price at this time). Approximately $1k can be given for the whole school to utilize. Typically, 20% of the student body participates and in this fun run 40% participated. One idea was monkey bars. We could fundraise for monkey bars as it’s been a request from students. The mascot is old and worn and possibly use the funds for a new mascot.
  2. Year Book: We do have a school yearbook and are always looking for people to send photos throughout the year. A slide show at the end of the year is needing volunteers to head this up.
