April ‘25 General Meeting Minutes
April 1st at 3:30pm

C. Secretary – Deb Kolb: approval of Feb 2025 meeting minutes 1) Jordan 1st
approval, 2) Haley MacLean 2nd
D. Treasurer – Liz McDaniel: There’s a new electronic process for check requests now available through the PTO website. Also located on the link on bottom of
Treasurer email. Uploading receipts to file works best if you download to the desktop and upload from there, new forms to request scholarship funds that
allow anonymously requesting funds for parents or teachers to use.
E. Communications Coordinator – Jordan Farhat: Nothing to report
F. Website Coordinator – Jessica O’Rear: Nothing to report
G. Grant/Fundraising Coordinator- Haley MacLean: Nothing to report
H. Principal – John Allen: Nothing to report
A. February Book Fair Recap (Lacey and Jessica):
1. $5,263 made and split, $1,000 scholastic funds to replenish for the teacher closet, $778 in cash.
B. Movie Night Recap (Haley and Lacey):
1. Technical difficulties to get the correct connections to get it to work. The issue was streaming to a large projector so the firewall inhibited our ability to stream. We had a tech person here by chance and they were able to get the correct pathway to get the movie going. Cordes: Note on flyer about not being on phone while the movie is going. Can we request more assistance with parental help in future. Have teachers review rules to movie night ahead of time. Looking at getting a DVD player for future needs.
C. Conference Meals Recap (Haley and Deb):
1. Overall they went well. Teachers seemed happy with food overall. Considering splitting line item of teacher appreciation and conference meals. Pac Thai was dinner option and Ingallina’s for lunch. Easy to accommodate special dietary needs with these two choices.
D. Garden Renovations (John):
1. Will be smaller then current footprint. Contractors will work with a couple of teachers and parents to help update the Memorial in garden to ensure
more visibility and to incorporate the current structure in new design. Trying to save a tree and grapevines within the fenceline. New walking path built in, will keep tables PTO purchased and should get more usage with new design. New planter boxes will be installed. There will be fewer as some teachers are electing to combine. New shed will be added from bond as well. Asking to see if another greenhouse can be installed. Wear and tear on current greenhouse occurs so hoping to get something of quality if able within budget. Mr. Allen asked if the PTO could possibly help fund the cost of a new Greenhouse with the other portion likely coming out of the Building budget. All other costs to be covered by District. For planter boxes to revisit if we can see if we can add planter boxes to ensure they are available for all teachers if more choose to have in upcoming years.
A. March(now April) Dine Out with Dilley (Haley):
1. Phil’s 1500 on April 10th from 5-7pm. All sales in the timeframe will donate 25% back to Dilley. Shared to community pages.
B. Bingo & Auction (Entire Board):
1. April 25th from 6-8, doors open at 5:30. Teachers will be receiving an email where you can sign to do a 15 minute mystery bingo caller and check out the auction. Also will do a silent auction during Bingo in addition to the auction with baskets from parents of Dilley. In-person, online and silent auction. Each class is donating a themed basket to the event. In Mrs. Fisher’s room will have the auction items located which will launch online auction for 2 weeks. Will have a few in-person only baskets. Will have pizza sales, candy snack packs, drinks, pre-order family packs are available now to order and get a discount as incentive
and will end the night before.
C. Kinder Round-Up (Liz, Haley, and Lacey):
1. Will have a table and photo opportunity. Would like to have the PTO Table to be added to the scavenger hunt and also to promote Bingo/auction event. Will sell spirit wear during event.
D. Staff Appreciation Week (Liz and Jordan):
1. Meeting this week to happen 5th-9th.
E. May Dine Out with Dilley (Haley):
1. 5/22 will be at Pink Spoon. Dill the Dolphin may be making an
appearance.
F. Field Day (Amber):
1. Emailed Mr. Allen & Mr. Horne to get logistics and date figured out with how close the construction will be to the event. More information to come.
G. Earth Day Bottle Drop Drive (Amber):
1. Flyers have been created and will go home on blue bags with students. 4/15-4/26 will be the week to turn into bottle drop locations and will match 20%. Should be in boxes this week to go home with students.
H. 2025-26 Executive Board Elections & additional General Meeting (Lacey):
1. We have nominations set for May 2nd-15th and will be open for 2 weeks. Anyone can nominate any person. Will go to the election committee (Jen
& Leah) and we will have 2 open positions. Elections will be May16th- 30th. Will do the additional meeting next month to review the different positions and encourage more parents to attend. New board will be announced at the June PTO meeting.
A. Treasurer Report Changes (i.e. scholarship, petty cash, check request, etc.):
1. See update above.
B. Volunteer Appreciation (Jessica):
1. Talked to Mr. Allen about being a participant with the Volunteer Tea. Details will be worked out over next few weeks. We will share a coloring sheet for students to possibly fill out in the classrooms.
C. 4th grade end of year party (Jessica, Liz, Lacey & Amber):
1. Will work together to help coordinate with 4th grade teachers
