February 2025 Meeting Minutes

 Call to order:  3:34 pm 

  1. Officer’s Reports:  

    1. President – Lacey Ferguson: Nothing to report

    2. Vice President – Amber Hodge: Nothing to report

    3. Secretary – Deb Kolb approval of December 2024 minutes. 1) Lacey motion to approve; 2) Jordan 2nd

    4. Treasurer – Liz McDaniel

      1. $200 voted in for Assembly line item: tickets to Charlotte’s Web & bussing, added additional money.

      2. Deferred line items for garden & sign maintenance:  Pausing these and defer to next year.

      3. Purchase of PTO tablet:  Needed central one that PTO can utilize for events.

    5. Communications Coordinator – Jordan Farhat:  Nothing to report

    6. Website Coordinator – Jessica O’Rear:  Nothing to report

    7. Grant/Fundraising Coordinator- Haley MacLean:  Nothing to report

    8. Principal – John Allen:  

      1. New digital sign: February 24th will begin installation, training on sign will need to be completed.  No objection to readerboard sign from neighbors.

      2. Construction will be occurring and extend into the garden area.  The memorial outside will need to be relocated to adjust for expansion. Construction will occur close to the memorial;  concern over potential damage to memorial and will lose visibility with new walls.  Plan to reach out to family, Mrs. Marshall volunteered to help coordinate to allow the family to be part of the process.  Construction will begin this summer.  

      3. Champions after school childcare would like to come and hand out fliers at Movie Night event for promotion.

 

  1. Current Events

    1. Fill the Calendar Recap (Jessica and Jordan):  Exceed both goals, 1st of $2,500 $4,766 raised.  Of all students, 33 raised funds to reach this goal; Tionquiao class raised the most dollars earning them an ice cream party.  Due to success of the event:  Connect 4 purchased by PTO for student use at recess;  Coffee Bar put out to be available to staff.  Suggestion for teachers to have opportunity to have their own calendar so they have potential to raise funds.

    2. January Dine Out with Dilley at Panda Express (Haley):  Challenges using Panda Express.  Claimed that we didn’t hit minimum money needed to get 20% back.  However, with just the PTO receipts we achieved this to show minimum money was raised.  Concern over other Dilley donations were not counted.  Ultimately we were given $68.11 in total.  In future, goal to try to use restaurants we aren’t needed to show code or flyer to make easier to track.  Also planning to pair with conference meals choice.

    3. February Book Fair (Lacey and Jessica):  Happening now, open during library times, all grades can come during recess Thursday and Friday as well as open during movie night.  For teachers, on Friday scholastic bucks available for students in need to utilize for books, not toys.  How much do we typically earn towards Library:  some goes towards scholastic money; library gets $300 each fair and then they have $500 cash to purchase books throughout the year.

 

  1. Upcoming Events

    1. Movie Night (Haley and Lacey):  Cloudy with a Chance of Meatballs, pre-sale on snacks to save $1, snack packs:  Popcorn, juice, candy and fruit snack; other snacks to be available.  Book fair open 5:30-7:00 pm.  Mrs. Cordes will use her computer and work with MJ to help coordinate.  Quiet room in Mrs. Fisher’s room for kids unable to sit through movie.

    2. Conference Meals (Haley and Deb):  Leaning towards Phil’s Subs as we will plan to use for March Dine out with Dilley.

    3. March Dine Out with Dilley (Haley):  Phil’s Subs does a time window making the process easier.  More details to come.

    4. Bingo & Auction (Entire Board):  Combining event; Haley, Jessica and Lacey doing auction portion.  Emailed teachers to request a basket for donation.  Each teacher can promote their students to have parents contribute to the basket theme.  PTO can help if needed to put basket donation together.  Baskets to be done by April 11th.  Date of event 4/25/25.  Bingo (Deb, Jordan & Haley):  working on game plan in gym & meeting weekly.  Food coordinated Amber & Liz.  More details to come.

 

  1. New Business

    1. Garden Renovations (John, Lacey & Lindsey):  Went outside and looked at the space.  Based on the District’s plans the new addition will be off the Music room and hallway to be extended.  This will cut into the middle of the current garden where the greenhouse is currently located as well as the picnic table area splitting the compost area and garden bed in the middle cutting the garden space in half. The greenhouse will need to be moved.  Dilley Staff and family will help to coordinate moving the memorial so it’s not disturbed by construction.  Concerns:  Will there be room for the greenhouse to be moved elsewhere or will we need to sell and purchase a smaller.  Sensitivity to be consulted about project as this will impact current location of the Memorial and ensuring if moving needs to occur it’s done with the family in communication and consideration.  The Dilley garden was started 30 years ago and is a model for other schools in the district.  Was this considered when district chose the site of expansion?

    2. Yo-yo sales – PTO to send check (Liz):  Receive cash, write check.  Last year there was a money discrepancy.  In future, how do we remedy this and what procedure to put in place.  Working to figure out a solution to minimize this financial liability if short.
