March General PTO Meeting

Meeting started at: 3:33 PM

  1. Officer’s Reports:  

    1. President – Jordan Farhat: Nothing to report

    2. Vice President – Haley MacLean: Nothing to report

    3. Secretary – Jill Phillips: Meeting minute approval request for February General PTO meeting. 1st approval Jordan, 2nd approval Hailey. 

    4. Treasurer – Liz McDaniel:  Not present but information reported by Jordan Farhat.

        1. Scholastic Dollars (Book Fair)

      3. Expenses:

        1. Scholastic Dollar redemption (3D Printer)

        2. Field trips

        4. Class account reimbursements

        5. Speech services

        6. Hygiene kits for 4th graders (Each child in 4th grade gets the hygiene kit and it is a one day talk/event such as deodorant, sanitary pads, body wash) 

    5. Communications Coordinator – Ahmed Farhat: Nothing to report

    6. Website Coordinator – Deb Kolb: Nothing to report

    7. Grant/Fundraising Coordinator- Elisa Litwora: Met with Jared, book vending machine liaison, informed he will help us apply to all the grants we need to get it free. There are 6 different trays for varying levels of reading. We have all the dimensions of the books so teachers/staff can also pick what they want from other sources. 

    8. Principal – John Allen: Announcement, there will be a meeting with teachers on the 12th for a budget meeting for next year and a community meeting on the 17th (5:30-6:30) for district-wide budget information hosted by Dilley. 

 

  1. Current Events

    1. February Book Fair Recap (Jordan and Jill):

      1. Total Fair Sales: $4,499.59

      2. $2,249.80 in Scholastic Dollars (50% of total sales)

 

  1. Sweetheart BINGO  Night Recap (Haley, Jordan and Elisa): 

    1. Actual income $558.37, Net income $388.99

      1. Not intended to be a money maker but we came out in the positive of $388.99. Kids enjoyed the surprise bingo teacher guests. 

  2. March Dine Out with Dilley (Elisa): Phil’s 1500 Subs March 18th, 5-7 PM. Cash-only but they do have an ATM (charges for withdrawal.)

  3. Conference Meals (Liz and Deb):  Sent out meal requests via email yesterday for dinner available between 4-4:30 from Phil’s on Wednesday 3/18 and lunch from Ingallina’s on 3/19 to be served between 11-11:30. 

 

  1. Upcoming Events

    1. Auction (Entire Board): April 24th 6:30-8:30 Elks Lodge. 

      1. John Allen will be providing charcuterie boards. Liz and Ahmed are in charge of food. They will get platters as another option. OLCC information obtained that because we are a non-profit organization, we are not required to serve food/full meals so a heavy appetizer will be provided. No admission will be requested, cash bar available. 

      2. Video Poker is only for members, not available during the event.

      3. Elisa is looking for an auctioneer for live auction items. 

      4. We will have a wine wall with a blind pull.

      5. Dollar amount for auction items currently at $12,9067

    2. Kinder Round-Up (Deb and Elisa): April 9th from 4-6 pm.  PTO will have a table, and would like to be on the BINGO card if Kinder teachers are doing that again. 

    3. Staff Appreciation Week (Haley, Elisa and Jordan): May 4-8th. TBD

    4. Yearbook (Ahmed): 4 different options for themes. Inquired about how we could get the kids to vote on what theme they would want. Email it to class teachers for the cover and pages with pictures and each teacher can get a vote from the students. Please send the totals to the PTO. 

      1. Submit photos to yearbook@dilleypto.com as we do not have our normal amount of photos of events this year.

    5. 2026-27 Executive Board Elections (Jordan):

      1. Nominations run April 29th-May 11th and Voting is May 14-28th

      2. New Board will be announced June 2nd.

      3. As of now, there are 4 open spots out of 7. Please talk with parents who may be interested. 

      4. We need someone willing to be in charge of the election committee results. Forms are provided, just compiling, confirming with the people and submitting. Megan Burns

  1. New Business

  • What do do if a new line item is requested, over $200. A vote is required, email the board and present at a general meeting. The vote will be the subsequent month. It is a 2 month process. The bylaws are created for tax purposes. Bylaws can be changed but have the same process of being presented at a meeting and voted at the subsequent meeting. 

 

  • Fun(d) Run: $1000 what has been decided? Before we spend money on shelves for the library area, we will check the District warehouse for free shelving.
